Education and Advancement Coordinator

Purpose

Discovery Center programs and exhibits are interactive, hands-on experiences, meant to be creative and innovative, including topics and activities not normally taught in the schools of the surrounding area. Exhibits and programs should always fall within the Discovery Center’s Mission Statement; subject areas include but are not limited to the sciences, technology, communications, the environment, health, history, culture, and transportation.

Position Description

 As a representative of DCS, the Education & Advancement Coordinator works with individuals and organizations both locally and across the country to facilitate the Discovery Center’s programs, events, and funding. This position works closely with both the Marketing & Advancement Director and Education Director to ensure DCS programs, memberships, events, activities, and fundraising are organized and promoted effectively and efficiently.

General Description of Duties

 Marketing and Public Relations

o Assist with marketing and public relations activities as needed

o Represent DCS at various community events

o Book speaking presentations to share the Center’s mission with our community

 

Fundraising

o Assist the Director of Marketing & Advancement with implementing the Center’s fund development plan

o Plan and implement fundraising, membership, donor, and special center events

o Solicit corporations, organizations, vendors, and individuals for event donations

o Work closely with the Center’s volunteer coordinator to recruit volunteers for special events and special projects

 

Memberships

o Stewards members by working closely with the Visitor Experience team to fulfill our membership recruitment and retention plan

o Tracks progress for membership recruitment and retention

o Communicate with members through print, email, phone, text, and web based components

 

Education Programs

o Act as the primary contact for field trips, distance learning, outreach, and in-house education programs. Problem solves issues related to these bookings.

o Communicate and coordinate with STEM instructors to fulfill booking requests and ensures all bookings are scheduled and organized

o Use the Versai program to check museum availability, confirm and coordinate reservation details, schedule STEM Instructors to attend programs, and secure room assignments

o Maintain online listings of DCS learning programs

o Conduct test connections prior to scheduled videoconferences

 

Reports and Data

o Collect statistical data on DCS activities and prepare appropriate reports

o Maintain integrity and processes for the Center’s database management system

o Serve as liaison to other staff regarding the Center’s database

 Completes other duties as assigned

 

Special Skills/Requirements

 Demonstrates great presentation skills with community members

 Adapts easily to changing conditions and situations

 Relates confidently with/to a wide spectrum of people

 Exhibits skill in independent completion of tasks

 Finds, cultivates, and engages donors and foundations

 Works with the Marketing & Advancement Director in securing donors for special events and operations

 Manages work and personal time well by using a flex schedule to accomplish multiple tasks often occurring in the evening or weekend hours

 

Discovery Center Expectations

 Each employee will achieve competency in:

 Comprehending and displaying the mission, objectives, philosophy, policies, programs, operational standards and procedures of the Discovery Center.

 Maintaining a neat and clean appearance befitting the positive public image portrayed at DCS.

 Expressing a positive, welcoming, energetic and learning attitude with DCS visitors and guests.

 Possessing an out-going attitude with a willingness to work in a non-traditional setting with children and adults

 Establishing effective working relationship with Center staff, board members, volunteers, teachers, community groups, and other related agencies.

 Visualizing and assessing abstract ideas and using this in demonstrating exhibits and activities with visitors.

 Meeting goals and objectives on a timely basis under pressure of many priorities and deadlines

 Communicating the written and spoken word with tact, diplomacy, and/or authority when necessary

 Understanding of DCS emergency procedures and safety protocols and how to implement them.

 Balancing working independently and being a team player

 Expanding use of existing resources to counter limited funds

 Having ability to multitask and be flexible

 Working in a collaborative fashion with other resources within the community

 Demonstrating an ability to problem solve, answer questions, and evaluate results of performance

 

Education and Experience

  Bachelor’s degree or significant field experience as approved by the Executive Director preferred

 Experience working with people and providing written and verbal communications

 Competency utilizing technology (i.e. e-mail, Microsoft Word, and Excel) and experience using Adobe Creative Suite preferred

 Experience coordinating various diverse individuals and groups

 Strong history in donor cultivation, grants, special events, and fundraising

 

Special Requirements

 Able to lift up to 25 lbs on a periodic basis

 Able to have a flexible work and personal schedule
